Home / Glossary / Message Taking
Message taking is recording the details of a call the intended recipient could not answer, then passing them along. A receptionist or AI notes the caller's name, number, and message, and delivers it by text, email, or portal so the recipient can follow up.
Message taking ensures information from a call is not lost when the right person is unavailable. Rather than sending callers to voicemail, a live agent or AI gathers the important details in a structured way.
Good message taking captures who called, how to reach them, and what they need, and then routes that message promptly to the correct person. This is more reliable than voicemail because the information is organized and consistently delivered.
It is a core function of answering services, virtual receptionists, and AI receptionists, and it works closely with lead capture and screening.
Voicemail records the caller's own audio. Message taking has a receptionist or AI actively gather and organize the details, then deliver them in a consistent, readable form.
